Business Manager
The dashboard summarizes your studio finances at a glance: revenue collected, outstanding client dues, upcoming events, payment alerts (overdue or partial payments), unassigned photographer slots, and charts for income trends. Use date filters (7 days, 30 days, 1 year, or custom range) to focus on a period. Each card links to the relevant section — quotations, orders, or payments — for follow-up.

Under Account Master, Leads stores prospects before you confirm a booking (inquiry name, contact, event type, notes). When a lead converts, create a Customer record with billing details, GSTIN, and address for invoices. Customers are linked to quotations, orders, and payment history so you always see what a client owes across multiple events.

Item Master → Catalog holds your standard service line items (e.g. traditional photography, candid, album) with default rates — used when building quotations quickly. Studio catalog is a separate scope for in-studio product lines (prints, frames, album upgrades). Deliverables define what you owe the client after the shoot (edited photos count, album size, reels, etc.) and can be packaged and applied to quotations or orders so delivery status stays tied to billing.

Event Types (wedding, birthday, corporate, etc.) categorize bookings for reporting and let you pre-fill quotation templates. Consistent event types improve conversion reports and help filter the calendar and dashboard by the kinds of jobs you shoot most often.

Team members with appropriate roles can access Business sections according to your account permissions. Use Team Login under profile settings to invite staff. Billing supports role separation so accountants can work on payments and reports while editors stay on galleries — align team roles with what each person should see.

Quotations
Go to Business → Quotations → Create. Select or add a customer, choose event dates and line items from your catalog (or add custom lines), apply discounts and taxes, and save. Blinkpic auto-increments quotation numbers. Add deliverable packages if you track albums or deliverables per line. Preview the PDF, then share via WhatsApp, email, or download.

Open the quotation and use Convert to Order (or the convert flow from the quotation detail page). The order inherits line items, totals, and deliverables from the quote. The linked quotation number stays visible on the order for audit. You can then record advance payments and schedule photographers on the order.

Draft and sent quotations can be updated until they are converted to an order. Change line items, taxes, or client details from the quotation edit screen; revision history may appear in activity logs. If the client declines, mark the quotation accordingly so conversion reports stay accurate. After conversion, edit the order instead of the original quotation.

Save common combinations (e.g. wedding full-day + album) under Catalog → Packages. When creating a quotation, apply a package to insert multiple line items and deliverables in one click. Update package pricing centrally when your rates change so new quotes stay consistent.

Orders & bookings
Go to Business → Orders → Create and enter client, event dates, services, and amounts manually. This suits walk-in studio work or repeat clients where a formal quote was agreed offline. You can still attach deliverables and assign photographers after the order is saved.

Open the order → Payments (or Business → Payments). Add a Client Payment with amount, date, method (cash, UPI, bank transfer, cheque, online), and link it to the order. Partial payments reduce the outstanding balance on the dashboard and order detail. Record the final settlement when the event is complete.

From the order or calendar, assign photographers from Account Master → Photographers. Assigned staff receive WhatsApp notifications when configured. Unassigned slots appear on the dashboard so you do not miss coverage before the event date.

Studio Orders handle in-studio sales (prints, frames, reprints) separate from on-location event orders. Use the studio catalog for line items, track delivery of physical products, and run studio-specific collection and delivery reports. This keeps wedding/event billing separate from walk-in retail.

Each order can show a profit summary: client payments received minus expenses and photographer payouts allocated to that job. Use this before closing an event to confirm the booking met your margin targets.

Invoices & GST
Go to Business → Invoices → Create, select the customer and linked order (if any), and confirm line items with tax breakdown. Enter your studio GSTIN and the client GSTIN where applicable. Blinkpic generates GST-compliant PDFs with tax splits. Download or share the PDF; invoice numbers auto-increment like quotations.

Set your studio name, logo, address, GSTIN, and bank/UPI details under Profile → Business Branding and PDF Settings. Invoice and quotation PDFs pull from these templates so every document looks professional and matches your brand.

Send a quotation before the client confirms — it is an offer, not a tax demand. After confirmation (and often after receiving advance), issue an invoice for accounting and GST compliance. Many studios quote first, convert to order, record advance, then invoice the full or balance amount.

Yes. Line items support configurable tax rates (e.g. 18% GST on services, different treatment for albums). Discounts can be applied per line or on the document total. Confirm rates with your accountant; Blinkpic calculates display totals on the PDF and in reports.

Default mode uses the standard business layout: your logo, quotation number, contact details, and familiar Blinkpic structure. Custom mode is a minimal design without logo or quote number on the content pages — you control typography, colours, background, intro/closing pages, and one of three content layouts (Classic, Centered, or Elegant). Choose the mode under PDF Mode at the top of PDF Template Settings.

WhatsApp connection
Linking your business WhatsApp lets Blinkpic send quotations, invoices, payment receipts, and photographer assignment notifications from your phone number, not a generic system number. Clients see messages from you, which improves trust and reply rates. If you disconnect, Blinkpic automatically falls back to its default WhatsApp service (ACS provider).

Blinkpic uses a self-hosted Baileys sidecar (same idea as WhatsApp Web). Each business account gets its own linked instance; connection status and QR or pairing codes sync automatically while you wait on the settings page. Your phone must stay online to relay messages.

When connected, Business Manager routes: quotation PDFs, invoice PDFs, client payment receipts, and photographer order-assignment notifications through your linked number. Group photo-upload alerts for events use separate notification settings and may use wallet credits — they are not the same as business billing WhatsApp.

Disconnect logs out the Baileys instance and sets your channel back to the default ACS provider so Blinkpic can still send some messages centrally. If the QR times out (QR Expired), generate a new QR and scan again. Statuses like Logged out or Disconnected mean you need to reconnect before client-facing PDFs send from your number.

Business Manager checks that your Baileys WhatsApp is connected before sending quotation or invoice documents on WhatsApp. If not connected, you will see a prompt to open Profile Settings → WhatsApp Connection and complete linking. Until then, use email or PDF download, or rely on Blinkpic fallback WhatsApp where enabled.

Payouts & expenses

Use Business → Expenses to log studio costs (travel, rentals, editing outsourcing, etc.). Categorize expenses and link them to orders when relevant so per-event profit reports include true costs. Monthly expense totals feed into revenue and P&L reports.

Expenses are general business costs (vendor bills, fuel, software). Payouts are payments to people on your team (freelance photographers, second shooters) for work on a booking. Both reduce profit but appear in different reports — expenses in expense reports, payouts in photographer performance and statements.

Export or view PDF/CSV where offered. Use Report Lock (when enabled) to freeze a month after GST filing.

The Quotation Conversion report shows how many quotes became orders versus lost or pending. Use it to tune pricing, follow-up timing, and package design. Mark quotations correctly when clients decline so metrics stay reliable.
